Answering the Same Etsy Questions All Day?

Etsy has three built-in ways to stop retyping the same answer: quick replies you send with one click, auto-replies for when you are away, and a fixed "Message to Buyers" shown after every purchase. They cover repeated questions. For replies that depend on the order or the conversation, an AI draft such as Sellereply saves more time.

Why fast replies matter on Etsy

Shoppers can see on your listing pages how quickly you usually respond. Etsy's customer service standards also measure your message response rate: reply to 80% of first messages in a thread within 48 hours. The Star Seller badge asks for more. See how customer service affects Etsy search and what to say when an order runs late.

1. Quick replies: a library of saved answers

Quick replies give you a library of answers to frequently asked questions, such as shipping times, that you can use without retyping. You can use pre-written messages created by Etsy or make your own replies and categories. When you write a reply you will use again, save it as a quick reply, then insert it from the reply box with one click. A quick reply gets the buyer an answer fast, which also helps your chances of Star Seller.

A starter set worth saving:

  • Processing and shipping times, by product type
  • Order status: "Your order is being made, and I will update you by [date]"
  • Custom order details: what you need from the buyer, with the format and deadline
  • Size, color and material questions your listings do not answer in one line
  • Returns and exchanges, as stated in your shop policy
  • Delay notice (use the templates as a base)
  • Thank you and a request for a review after delivery (Etsy itself suggests this use)
  • Gift orders: how to add a message and when to order for an occasion

Tips: write them in your own voice, leave obvious placeholders such as [name] and [date] and always fill them in, review them whenever your policies or times change, and never use them to move the buyer off Etsy.

2. Auto-replies: when you are away

An auto-reply answers a buyer's message with a pre-written response of your choice. There are two types:

  • Temporary: for a set time from one hour up to five days. For longer, Etsy suggests Vacation Mode.
  • Weekly: repeats every week. Your available hours must be at least 8 hours long on at least 4 days a week, and messages outside them receive the auto-reply.

Both are sent only in response to the first message from a shopper, and they count as a reply towards your Star Seller messaging score. Auto-replies can only be managed on Etsy.com, not in the Etsy Seller app.

3. Message to Buyers: one note after every purchase

Message to Buyers is a short note included on the receipt page and in the order confirmation email after a purchase. Use it to thank the customer, explain your standard shipping practice or share what they need to know. To set it, go to Shop Manager > Settings > Info & Appearance > Message to Buyers and save. Digital items have their own Message to Buyers for Digital Items, shown on the Downloads page.

A good one answers the questions you get most after checkout: when it ships, how tracking works, how to contact you and, for personalized items, what you will need from them next.

When fixed answers are not enough

Saved replies cannot read the order. Custom requests, a question about a specific delay, a message in another language or a review that needs a careful answer all need something written for that conversation. Sellereply is a Chrome extension I built for this. According to its site, it adds a button under the message box, reads the current conversation, the order and your saved shop information, writes a draft in the buyer's language, flags links, emails and phone numbers, and never sends anything by itself. A free trial is available.

A practical split: use quick replies for the 70% of messages that repeat, and a drafted reply for the rest, always read before sending. I built Sellereply, so I am not a neutral reviewer; try both approaches and keep what saves you time. For the safety side, read AI in customer service and how to build a knowledge base. Etsy's messaging rules apply to every message, however it is written.
