Start with an internal alert, not an automatic message
The system's job is to show your team which orders need attention. A person checks the order and decides what to say to the buyer. If the job is just to spot an approaching date, a date check does it better than an AI model.
Five steps
- Choose the source of truth. Use your order data or an authorized export. For each open physical order, collect only the order ID, channel, official ship-by date, status, last update and the person responsible. Etsy shows a "ship by" date on the Orders page. For seller-fulfilled Amazon orders, the expected ship date and shipment confirmation matter for late-shipment measurement.
- Run a scheduled check. Once or twice a day, compare open orders with their ship-by dates in the store's time zone. Pick a warning window that fits your production, such as one business day before the deadline. That window is your choice, not a marketplace rule.
- Apply a simple rule. Open order within the window: "due soon" alert. Date passed and still open: "overdue, verify" alert. A missing tracking number does not prove the parcel was never handed to a carrier.
- Send the alert to one owner. Include order ID, channel, deadline, status and a secure link to the order. Keep the buyer's address and phone number out of shared notifications.
- Close the loop. The owner marks it shipped, delayed, corrected or needing buyer contact. Keep a short record. If the order is still open at the next check, do not quietly erase the alert.
The alert should send you back to the platform, not replace it
On Etsy, changing a ship-by date has its own rules, and Etsy says to confirm the new date with the buyer before changing it. On Amazon seller-fulfilled orders, shipping on time without confirming shipment by the expected ship date can still count as late. Your alert should point to the platform record, not overwrite it.
